Board Position
Resignation:
The resignation of Jim O’Reilly as Board Member was received, and
accepted. It was decided by
the Board that the position will remain vacant until the Banquet in
November.

Dorr Family:
It was unanimously voted to spend $100.00 for a donation to the Dorr
Family to help with expenses from Harry Dorr’s Sr. hospital stay.
Tim Bowman will pick up a $25.00 gift card from Pizza Hut, a
$25.00 gift card from Subway and a $50.00 gift card from the Fasttrac
fuel station. The OCQMC want
Harry to know our thoughts and prayers are with him and his family for a
speedy recovery.
Sodus Series Races
in August:
It was decided that
Classic
Preparations:
It was decided that we will hold a bake sale and Chinese auction again
this year for Classic. Each
family will be asked to bring a baked good item to sell and at least one
donation that we can raffle off.
The more items we receive, the more successful it will be.
We will have a sign-up sheet for drivers so they can rotate
watching the tables unless anyone knows someone who is willing to work
the raffle table on Friday night.
All drivers must participate in this rotation.
Headset Batteries:
It was unanimously passed to purchase two new batteries for the
headsets. If the batteries
do not cure the “no communication” issue, then we will consider
purchasing new radios. This
topic will be revisited at the next meeting.

Father’s Day
Barbeque:
Chickens were ordered by Mike Coant, rolls are from Ostrander’s Market,
Michelle will place the order, salt potatoes will be taken care of by
Tim Bowman and baked beans will be made by Kimmi Coant.
Committee Updates:
Fundraising:
Champions cards will be distributed by Deb Proud.
Each driver will be given three (3) cards to sell @ $20.00 each.
Banquet:
The Board will be helping with the Committee.
It was decided that all 4 ½ year olds will be getting
participation trophies as long as they are active, practicing on a
regular basis. Schedule for
the banquet will be as follows:
Bowling for drivers & siblings
3:00 – 4:30 p.m.
Dinner
5:00 p.m.
Possible speakers are Kyle Reuter & Clayt Brewer.
Yearbook:
Pictures are being taken on a regular basis.
The Committee has been arranging pages for the book.
Classic Planning &
Preparation:
Discussion was held regarding doing a Chinese Silent Auction, but a
volunteer to man the tables will be needed prior to the Classic. This
topic will be revisited at the next meeting.
Promotion Day
Wrap-Up:
The Promotion Day was a huge success.
Michelle will be sending the receipts to National for a $500.00
reimbursement. Talk was held
regarding holding a 2nd Promotion Day, but given the amount
of time needed to go into the planning, the idea will be discussed next
year.
Suggestions/Comments for Improving the 2nd Half of Season:
The number one suggestion is that the Board needs to pull together,
support each other. Everyone
needs to work together and support each other to see things get done in
a positive manner.

Discussion was held regarding the Board’s responsibilities, and the
importance of attendance at meetings and playing an active part in the
week-to-week operations of the track.
Tim Bowman will be in contact with Jim O’Reilly regarding his
position on the Board.
Corner Carts:
Randy has completed the corner carts for the club.
The Board would like to thank Randy for all his time and hard
work in building these carts.

Promotion Day:
Flyers were distributed to all elementary students in the
Novice Extensions:
We have a number of novices on extensions who need to renew their
extensions by June 1st. It
is the opinion of Ed Boyzuck, Novice Director that these drivers need to
request another extension.
Michelle Holland will submit the extensions to Mark Tobey, Region 2
Director for consideration.
We hope to have all returning novices graduated after the Classic Race.
Laminator:
A laminator was purchased for laminating numbers to help cut down on the
cost of copying paper numbers every 4-6 weeks.
Michelle Holland will laminate and distribute the numbers to each
driver. If you have two
cars, you will be issued two sets of numbers.
It is the responsibility of the families to take care of their
own numbers. Should anyone
need additional copies, a fee will be charged for duplicates or you will
have to use the paper numbers.
It is strongly suggested each driver put their name on the back
of the laminated numbers.

Food for Workers:
The question was raised about clarification of who gets free food from
the concession stand. It
was decided that the EMTs from the Fire Department will receive one
drink and one sandwich per person. The flagger will receive up to $5.00
worth of food. These are
the only individuals that will receive food free of charge on race day.

Tim shared with the group all the positive events
that have taken place over the winter months.
He also shared the “driver oriented” items that are scheduled to
happen in the upcoming season like birthday celebrations, introducing
the drivers each week, driver interviews during intermission, etc.
He also encouraged the group to stay focused and remember “we are
here for the kids”.
We profited $557.00 from the chicken barbeque held
in March at the Driveway Inn Restaurant in
It was decided to put up a sign at the track for the following
businesses:
Driveway Inn
– use of their facility for the Chicken BBQ
Butch’s
– the donation of two complete radios and headsets
One bid was received for the old digital scales.
The bid was rescinded and it was decided to keep the scales at
the track for any club members’ use.
The scales will be kept in the Tech shed and if someone is using,
it is their responsibility to sign them out.
The scales are not to be removed from the track without prior
approval from the Board.
Planning
Kimmi suggested calling “AirHop”; it kept the kids occupied while
waiting to drive the cars.
Tim Bowman has a call into them and will update us at the next meeting.
Advertisements – will be placed in the local newspapers & on local
television stations
Flyers
– need to be distributed to the local elementary schools, anyone with
connections in the schools, please contact Michelle Holland
Sodus has requested we send them a $100.00 deposit
to hold the weekend in August for our race.
If we do not race that weekend, the deposit is refundable.
Vote passed unanimously to send deposit.
Tim asked for volunteers to be the Assistant Flagger
when Mike cannot be there.
After discussion, it was decided it is not necessary to appoint anyone.
Everyone will step up and help out as needed.
Dennis Perry has a Pepsi machine that he is willing
to bring up to the track (with some help and a dolly).
We will fill the machine with bottles of soda and water, the
price will be $1.25. It will
be placed outside the base of the tower so people can get drinks when
they are there practicing.
Tim will contact Chip Wood @ InkSpot to see if he is
interested in sponsoring the race and supplying the drivers with
t-shirts.
Tim and Michelle are working on getting a sign
sponsor to purchase a laminator, two-sided Velcro
and pouches for the racing season.
This would help to save the club money in printing costs of
numbers and help the environment at the same time.
If a sign sponsor donation is not possible, a vote by the board
will be held to purchase a laminator and pouches.
All the extensions have been received back and
approved. To date, we have eleven
(11) novices that will be starting out the season, two of which are only
able to practice weekly.
Jim Losurdo began a discussion about the banquet,
the amount of money spent each year and the resources from which the
money comes. Jim has offered
to serve on the Banquet Committee this year.
He is going to check with the owners of Lighthouse Lanes and see
if the facility is big enough to accommodate our club since they allow
us to hold monthly winter club meetings at their facility free of
charge.
Jim Losurdo raised the question why a board member
needs to be present when individuals are practicing at the track.
Randy Groves explained it’s because of the County property and
the Airport so close. Anyone
at the track practicing on a non-racing day must sign the sign-in sheet
located in the Tech shed.
Please remember to have at least one fire extinguisher on the track
during practice.
Mary Ann Groves made the suggestion that we should
consider a buy-out for the fundraising.
Many families are involved with fundraising from other sports and
feel a buy-out would be beneficial.
This information will be passed along to the Fundraising
Committee.
Dennis Perry asked for the club to make a $100.00
donation to the Volney Fire Department.
The Fire Department supplies us the EMTs on a weekly basis.
The vote passed unanimously.
The subject was raised about converting over to the
Syracuse Point System. After
much discussion, it was agreed to keep our current point system.
It was suggested to create a list and put it on the
website of job/duties still left to complete prior to racing for anyone
who was unable to attend last weekend’s track clean-up/opening.
The list will be sent to the Webmaster, Mark; supplies will be
left in the Tech shed for everyone to use.

Novice Director:
Nominations were held for a new Novice Director as Mike Coant has
resigned from this position. Ed Boyzuck was nominated and the vote
passed unanimously electing Ed to the position.
Motorsports Expo:
The Motorsports Expo will be held at the NYS Fairgrounds on March 14,
2009 – March 15, 2009. Tim let all know who will be displaying
their cars that arrival time is Friday @ 5:00 p.m. Two adult
passes will be given to families displaying their car and will be handed
out on Friday at the show. More candy bars were ordered to sell at
the booth. We will also be conducting a raffle for an OCQMC
blanket. Tim Bowman will bring a television and DVD player.
Chicken Barbeque:
Chickens were ordered from Ostrander’s Village Market in Maple View as
they gave us the chickens at cost. Rolls were also order from
Ostrander’s; Price Chopper in Fulton gave us a $25.00 gift card
donation; Eddie’s Big M in Mexico also gave a donation. All families are
asked to help out if possible, please contact Michelle Holland.
Silent Bid for Old Scales:
The old digital scales are going to be auctioned off. A sealed bid
is required; minimum bid is $400.00 sent to Tim Bowman prior to the
April 6th Board Meeting. Bids will be opened at the meeting with
the scales going to the highest bidder. A cash payment for the
scales is required prior to delivery of the scales.
Keys:
Keys still remain an issue with old members leaving and we are not
allowed to change the main entrance pad lock because the county needs
access.

Pizza Oven:
Kelly Dolbear gave an update. She is still trying to locate a
propane one. If anyone knows of such, please contact Tim Bowman.
Pennsylvania Update:
Tim Bowman gave an update of the families that traveled in February to
PA for the Motorsports Expo. Congratulations to Addison Bowman,
Tyler Corcoran, Daniel Dorr, Amy Holland, and Zach Sobotka. Our
Northern clubs were well represented with Amy coming home with a Senior
Honda A-Main win. Great job drivers!
Corner Carts:
Randy Groves has agreed to build the corner carts for our track.
Headsets:
Dennis Perry spoke to his contact. This item will be tabled for
update at the next meeting.
Workday Sign-off Sheet:
Please NOTE: ALL families MUST help with track opening Saturday,
April 4th (9-12) and Sunday April 5th (9-2) in order to get their car(s)
inspected. After work detail is complete, Dennis Perry will hand
out sign-off sheets that need to be presented to the Safety Director or
Assistant Safety Director at inspection. If you do not work, you
will not be able to get your car inspected and race. There are no
exceptions.

Motorsports Expo:
The Motorsports Expo will be held at the NYS Fairgrounds on March 14,
2009 – March 15, 2009. Tim contacted Rick Martell and needs a
count of anyone who is interested in taking their car by February 20,
2009. We will need volunteers to help man the booth. We will
be selling our Gertrude Hawk candy bars and handing out the tri-fold
pamphlets from QMA. Keith Lane will be making a banner to hang
advertising our Promotion Day on Saturday, May 16, 2009.
Late Fees:
It was decided not charge the Associate members a late fee as we are
encouraging their participation at our track as well as their home
track.
Welcome Packets:
The welcome packets were handed out to members present. The
remainder of the packets will be mailed this week to club members.
Tim high-lighted certain items in the packet, namely the Non-Compliance
Form and the Apparel Order Form. Orders will be due to Michelle
Holland by Mother’s Day, Sunday, May 10, 2009.
Fundraising Update:
Deb Proud and Traci Bowman will be handling fundraising. We are
looking into a buy-out in lieu of selling; more information will be
distributed at a later date. Fundraising info was distributed in
the Welcome Packet.
Fulton/Syracuse Alliance Series Update:
A flyer promoting the series is in the Welcome Packets. The flyer
lists the dates and locations of races. Tim is still working with
Syracuse to work out a few minor details. We will forward any new
information upon completion.
Sodus:
Sodus weekend will be part of the Fulton/Syracuse Alliance Series.
The Sodus Microd Club is requesting the “User Fee” upfront, prior to the
race. Tim will contact the Microd Club President to discuss
acceptance of a “deposit vs. the entire fee”.
Novice Extensions:
Any returning novices MUST request a novice extension for the 2009
racing season. All novice parents/handlers were sent the extension
form. This form MUST be completed, signed and mailed to Michelle
Holland ASAP. If we do not receive the form with approval from
Region 2, your novice will not be able to race until approval is
received.
Purchase of Headsets (2) and Corner Carts (2):
Approval was given for Tim and Dennis to purchase two new headsets.
Discussion was also held regarding the purchase of two corner carts.
These will be stored at corners on each end of the track in case a car
needs to be removed from the track. It will be quicker and easier
to use these carts rather than wait for a pit cart. Approval was
given for purchase. However, we are exploring avenues for building
such carts instead. We will go ahead with the cheaper of the two
options.
Driver Birthday Plans for Summer:
We started this year sending cards to drivers on their birthday and
birthdays are being listed on the website. We have also decided
once a month to celebrate driver birthdays this summer. We will be
combining two months at a time so we can include off-season birthdays as

Pizza Oven:
Discussion was held regarding the purchase of a pizza oven. Darrin
Dolbear will check with a relative that owned a pizza and wing shop that
recently closed. We are looking for a gas oven to purchase.
Community Service Project:
The sign-up sheets were dropped off to Chris Plath, Principal at Mexico
High School by Michelle. Short sheets giving directions and
contact telephone numbers will be handed out to students when they sign
up. Jim O’Reilly also took a copy of the sign-up sheet and short
sheets for the Phoenix High School. If anyone else has contacts at
the other high schools, please contact Michelle.
Distribution of 2009 Racing Schedule:
Copies of our 2009 Racing schedule were sent to Region 2 for posting on
their website and Area Auto Racing News to be published in a pull-out
section in April. We will be sending a schedule to Gater Racing
News as the season gets closer. If anyone would like schedules to
post at local area businesses, please contact Michelle.
By-Law & Rule Changes: No requests were received to change or
amend the by-laws or rules for 2009.
Replacement of Picnic Tables:
Jim O’Reilly is checking with the Syracuse Carpenter’s Union about the
possibility of their Apprentice program helping to build/replace broken
picnic tables.

Concession Stand:
We still do not have anyone to be in charge of the
concession stand. Anyone willing to do this,
please contact Tim Bowman.
Split Point Series vs. Full Year Point Series for 2009:
Discussion was held regarding changing to a Split Point
Series for 2009. After careful consideration, it
was agreed to continue with the Full Year Point Series.
Motorsports Expo:
The Motorsports Expo will be held at the NYS Fairgrounds
on March 6, 2009 – March 8, 2009. We will again
have a booth next to the Syracuse Club. Tim Bowman
will contact Rick Martell to arrange for the booth.
We will raffle off a OCQMC blanket and have a 50/50
raffle to raise money for the club. Anyone who is
interested in taking their car, please contact Tim.
We will need families to volunteer to help run the
booth.
Promotion Day:
The Promotion Day will be held on Saturday, May 16,
2009. Keith Lane will make a banner which we will
display at the Motorsports Expo in Syracuse. We
will also hold a bottle & can drive that day. Mike
Coant will check with Granby Elementary while Mary Ann
Perry will contact Volney Elementary about distributing
flyers announcing the day. Michelle Holland will
contact Nicki O’Reilly about helping distribute flyers
in the Mexico District Elementary Schools. If
anyone else has contacts in any of the other local
schools, please contact Michelle. This was a very
successful event for us last year and hope it make this
year even better. We will need help in the
concession stand also.
Website:
Our website will now be managed by Dynamic Designs.
They have a temporary site up and hope to have the new
site up and running in January 2009. We would like
to thank Mark Lytle @ Dizzy Designs for his past years
of service.
Novice Time Change:
The novice practice has been changed to 9:30 – 10:00
a.m. on Sunday mornings. Controlled practice for
all other classes will begin promptly at 10:00 a.m.
It was agreed to hold practice race order the same each
week to avoid confusion. However, the Race
Director overturned that decision after the meeting
date. Mary Ann Groves expressed a concern in
running the same practice order each week as it may
cause an issue if someone had a problem in practice and
didn’t have enough time to fix it before the heat.
Sign-ins will begin at 8:30 a.m. All drivers and
handlers must sign in prior to taking the track.
Racing Schedule for 2009:
The schedule has been set and will be distributed in
Welcome Packets in February. One change was noted
which was due to when Easter is this year.
Chain of Command:
Tim reiterated the “Chain of Command” which will be
enforced this year. If you have an issue, please
contact Tim Bowman or any board member. The
Officers will contact others appropriately as needed.
Welcome Packets:
Welcome Packets will be distributed in February.
Kelly Dolbear and Kimmi Coant, who will be co-head
scorers, will set up the tower/concession stand schedule
which will be in the packets as well.
A Non-Compliance Flyer will be in every packet.
All families will have to sign acknowledging receipt and
turn in during safety inspection. Anyone who is
scheduled to work tower/concession and cannot, it is
YOUR responsibility to arrange coverage and get prior
approval from Kelly or Kimmi. If you do not abide
by this rule, you will be charged a $50.00 fine, which
must be paid before you can race. The fine is per
incident that you are scheduled. This is being
strictly enforced for 2009.
By-Laws/Club Rules:
Changes were made and unanimously approved. Copies
will be sent for approval to Regional Director, Mark
Tobey. Copies will be included in each club
member’s Welcome Packet, which will be mailed in late
February.
Plaques:
Mike Coant brought the new plaques for distribution.
All Board Members were e-mailed a copy of the 2009 Sign
Sponsorship form. Everyone is being asked to try and
solicit signs for the track. This money will be used to
help offset our monthly expenses. It can be a
substantial help to our club.
Community Service Project:
At the time of the meeting, the Principal at Mexico High
School had not yet gotten back to Ed Boyzuck regarding
students working our track on a weekly basis to fulfill
their 20 hours of community service needed to graduate.
However, since the meeting, Ed has heard back that the
school strongly supports this idea. Michelle
Holland will be designing a sign-up sheet for students
and will have a tear-off for students with critical
telephone numbers on it in case they are scheduled and
must cancel.
Items from the Floor:
Lease of Track: Randy Groves pointed out that the
bill for the lease was due the end of December.
Randy will take a Club check to the county to pay the
bill.
By-Law & Rule Changes: Any other change requests
are due to Michelle Holland prior to the next Board
meeting on February 2, 2009. Please e-mail

Chicken Barbeque: Mike Coant is contacting Jerry
Schremp of the Fulton War Memorial about the possibility
of holding a chicken BBQ as a fundraiser for the Club.
Mike is trying to arrange it for either Saturday,
January 24 or 31, 2009 during basketball and hockey
games. Anyone interested in helping, please
